Job Description

Plan, direct, or coordinate distribution, forecasting, customer service, or planning services. Manage logistics systems and direct daily operations.

ESSENTIAL JOB FUNCTIONS

  • Strategically plan, coordinate, schedule and manage logistics, transportation via pipeline, truck and marine shipments while maintaining excellent customer service.

  • Track KPIs and report on supply chain-s performance.

  • Prepare and analyze bills of lading, shipping manifests, dock orders, etc. and ensure that all paperwork is complete and accurate.

  • Schedule and direct the activities of Dock operations personnel in relation to marine shipments.

  • Communicate closely with Operations and Dock personnel, to ensure accurate and timely fulfillment of scheduled shipments.

  • Track marine transportation, such as vessels and barges by using PortVision software, communicate with marine transportation companies to ensure proper scheduling and minimize demurrage issues.

  • Analyze marine shipment reports, investigate and determine actual cause of demurrage.

  • Analyze, verify and record daily product shipments.

  • Development and preparation of daily, weekly, and monthly reports.

  • Track and receive raw materials and products by analyzing reports and posting data into SAP system against issued purchase orders and ensure accuracy.

  • Assist Finance in month end closing.

  • Track and maintain proper product inventory levels for scheduled shipments.

  • Communicate and direct the activities of Operations and Contract Personnel associated with Logistics systems issues and troubleshooting.

  • Liaising and communicating with customers and carriers daily to create and maintain a solid professional relationship, and Customer Satisfaction.

  • Receive, update and schedule new truck orders from customers, input into DTN system and communicate schedule with Operations and Contract Security personnel.

  • Responsible for vetting of new carriers to ensure proper qualifications and standards are met for facility entry and process truck carrier information into DTN system.

  • Ensure all proper data is entered and maintained in the DTN system for all customers, carriers and orders.

  • Responds to marine and truck loading service calls 24/7.

  • Identify, troubleshoot and implement actions to correct truck loading issues within DTN systems 24/7.

  • Responsible for record management of carrier information according to DOT standards.

  • Maintain copies and files of all regulatory reports, vessel load reports, discharge reports, pipeline transfer tickets, product quality analysis, etc.

  • Maintain metrics, reports, process documentation, customer service logs and training or safety records.

  • Responsible for providing proper Hazardous Material placarding to the carriers if needed.

  • Actively participates and instructs in the yearly required Pipeline Regulatory Community Awareness Program.

  • Present a professional image at all times to clients and vendors and maintain a positive reputation of the company.

  • Follow all relevant company policies and procedures.

  • Ensure compliance to legal regulations and company policies.

  • Assists other Departments and other administrative personnel as necessary.

  • Perform other tasks as assigned.

QUALIFICATIONS

LICENSES, CERTIFICATIONS, AND/OR REGISTRATIONS

  • TWIC Required

  • DOT Hazardous Materials Shipper Training for marine and land transport (renewal every 3 years)

EDUCATION, EXPERIENCE, AND/OR TRAINING

  • High school diploma or equivalent required.

  • 5-7 years working in logistics required.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Experience in data mining, analysis and reporting

  • Familiarity with supply chain processes

  • Working knowledge of MS Office, relational databases and ERP systems (e.g. SAP)

  • Analytical mind with business acumen

  • Problem-solving aptitude

  • Attention to detail

  • Excellent communication skills

  • Production and Processing - Knowledge of raw materials, production processes, quality control, costs, and other techniques for maximizing the effective manufacture and distribution of goods.

  • Administration and Management - Knowledge of business and management principles involved in strategic planning, resource allocation, production methods, and coordination of people and resources.

  • Negotiation - Bringing others together and trying to reconcile differences.

  • Accounting - Knowledge of basic accounting principles and practices.

  • Regulations - Knowledge of laws and any applicable agency rules.

  • Computer skills - the ability to operate computerized accounting and spreadsheet programs, as well as working with e-mail at a highly proficient level. Experience with SAP preferred.

  • Detail-oriented - minimizes errors and recognizes errors made by others.

  • Teamwork - the position requires working well in a team environment, and able to work with a diverse group of people.

  • Planning/organizing - the individual prioritizes and plans work activities and uses time efficiently.
