WasThe Executive Administrative Assistant will report to the COO and provide direct support to the Corporate Operations Team. The Assistant will perform a wide range of administrative and office support duties to facilitate the efficient operation of the organization. Responsibilities include booking travel, processing expense reports, preparing presentations, and assembling surveys. In addition to scheduling meetings, retreats, and seminars, the Administrative Assistant will be responsible for the preparation of meeting packets, and minutes. The Assistant will be expected to attend to administrative and clerical details utilizing initiative, and problem analysis, while maintaining a high level of confidentiality and professionalism.

  • Answer, screen, and transfer inbound phone calls

  • General clerical duties including copying, faxing, and mailing

  • Maintain electronic and hard copy filing system

  • Handle requests for information and data

  • Resolve administrative issues and inquiries

  • Prepare and modify documents, including correspondence, presentations, reports, drafts, memos, and emails

  • Schedule and coordinate meetings, appointments and travel arrangements

  • Ensure that all data is entered into system in a timely and thorough manner

  • Interface with Senior Management, Billing, IT, Accounting, HR, and Patient Accounts

  • Demonstrates professionalism and compliance to company and departmental policies and procedures

  • Perform other duties as required and as directed by management

  • Adheres to First Choice Emergency Room attendance policy as outlined in the Employee Handbook

Work Conditions

  • The employee must occasionally lift and or move up to 50 lbs.

  • The employee, while performing the duties of this job, will be required to regularly sit at a desk

  • The hours of this job will be from 8:00 a.m. to 5:00 p.m

  • The employee is required to have close visual acuity to perform such activities as: preparing and analyzing data and figures; transcribing; and viewing a computer terminal

Education and Experience

  • Bachelor’s Degree Preferred

  • Proficiency with standard office equipment

  • Experience with clerical and administrative procedure such as filing and record keeping

  • Knowledge of principles and practices of basic office management

Special Qualifications

  • Must have a clear and pleasant speaking voice

  • Must be able to work independently, and prioritize workload to meet established goals and timelines

  • Must have excellent organizational skills and the ability to manage multiple projects simultaneously

  • Must have exceptional verbal and written communication skills

  • Must have the ability to respect and maintain highly confidential information

  • Must have proficiency in all Microsoft Office applications
