Job Description

Job Summary:

Responsible for data entry and processing of automotive mechanical warranty claims and related payments. Also responsible for research and related processing of adjustments (debits/credits) to vendor and customer accounts

Essential Job Duties:

  • Scanning and indexing of invoices and check requests

  • Data entry of invoices into accounting system for payment

  • Review of payment terms

  • Process check requests

  • Prepare Accounts Payable checks through data entry

  • Interfacing directly with customers to troubleshoot invoice issues and seek direct resolutions

  • Special projects and other duties as identified by the Supervisor

  • Identifying opportunities for process improvements

Job Requirements

Basic Qualifications: Automotive knowledge including mechanical repair. Familiar with shop repair orders to determine parts and labor charges. Parts and labor guide familiarity.

Education & Experience:

High school graduate or G.E.D equivalent required. Accounts payable experience is a plus. Knowledge/Skills/Abilities:

Must have good written and verbal communication skills. Must be able to type 20 WPM and have PC skills including Microsoft Word, Excel.

MACHINES, EQUIPMENT, AND SOFTWARE: Computer, 10-key calculator, multi-user telephone system, copier, fax machine, and Microsoft Office software.

Essential Physical Demands/Work Environment:

Must have the ability to work under conditions of frequent interruptions and be attentive to detail. Must be able to be patient with others, have the ability to listen and be able to work comfortably under pressure.

Example skills:

. Knowledge of general accounting procedures

. Accounts Payable experience

. Aptitude with communicating with various levels throughout the organization

. Invoicing experience

. Excellent track record of providing superb customer service

. A “self-starter” who is able to seek out resolutions on their own

. Proficiency with the Microsoft Office suite of products – Word, Excel, Outlook

. Prior data entry experience
