SUMMARY

Provide administrative support to Freeman’s Leadership Team by performing the following duties.

  • Provides support to the leadership team to ensure all administrative tasks are achieved on time or ahead of schedule, in a professional, customer service oriented and quality-focused manner.

  • Serves as the initial phone contact for leaders and handles or distributes calls.

  • Maintains confidential information and files and is responsible for time sensitive material.

  • Organizes and maintains file system, and files correspondence and records.

  • Maintains calendars, schedules appointments and coordinates arrangements for meetings, conferences and travel.

  • Manages expense reports and travel using Concur

  • Works with accounting to pay invoices, create internal order numbers, among other tasks

  • Prepares agendas, reserves and prepares facilities, and records minutes of meetings.

  • Prepares outgoing mail and correspondence

  • Orders and maintains supplies, and arranges for equipment maintenance.

  • Performs other duties as assigned.

EDUCATION

  • High School Diploma or GED

REQUIREMENTS

  • Minimum of three (3) years related administrative experience

  • 3 years experience supporting executive level individuals

  • Must have excellent Microsoft Office Suite skills as well as the proven ability to prepare executive level presentations, memos, and general correspondence

PREFERRED

  • Experience supporting design teams in an agency setting

  • Knowledge of accounting systems

  • Five (5) years realted administrative experience
