Job Summary:

The focus of this role is to support the Sales Department via the coordination and administration of sales related activities. A Sales Coordinator must be able to work in a fast pace environment and engage with multiple projects and tasks simultaneously where accuracy and attention to detail is essential. Along with Proposal Manager, Sales Coordinator will work very closely with various internal resources such as Marketing, Estimating, Design and others while delegating associated tasks to ensure the deadlines for each proposal is met.

Duties and Expectations:

  • Support Sales team members with all aspects of the sales process

  • Assist in the training process of new sales executives with all company procedures

  • Prepare client specific presentation materials

  • Process Request for Proposal (RFP) & Request for Information (RFI) to determine client’s expectations and deadlines along with assigned sales team

  • Ensures that all company’s proposals are fully executed from start to finish

  • Manages and executes project handoffs to Project Management once sales cycle has been closed

  • Meets with assigned Sales Executives to determine scope of work prior to work initiation

  • Creates proposal schedule to ensure all necessary deadlines are met

  • Updates and maintains project information database

  • Data entry and task management in company’s ERP software

  • Maintains company information database

  • Review and edit proposal input from other departments to ensure a professionally produced proposal is submitted to meet client’s defined scope of work and deadlines

  • Save and print documentation for bid file

  • Submit requests to estimating

  • Review opportunities for all items that require attention and should be noted in pricing review

  • Review and advise estimating team of new information for bid changes

  • Prepare and submit Jones pre-qualifications and requests for proposals

  • Prep proposal documents and attachments, including cover pages, form letters, references, project profiles, etc. to create professional bid packet to be submitted

  • Follow up on routed documents requiring review or signature

  • Assist with proposals and pricing sheets

  • Assist sales staff with estimate submittals, proposals and marketing information

  • Facilitate sales and estimating processes and procedures

  • Respond to requests for information, documents and/or marketing materials

  • Assist sales staff when traveling or train new sales staff on processes and procedures

  • Update, organize and add information relating to all facets of the business as required to be used by all Jones staff for marketing and pre-qualifications

  • Ensure references are updated on a regular basis

  • Maintain current and completed project information spreadsheet for use in marketing material and qualifications

  • Request reference updates and recommendation letters from sales department

  • Facilitate contract submission and signatures, scan and save in system

  • Download, print and copy items as requested.

  • Enter estimate requests, updates and Bills of materials (BOMs) requests to Smartsheet’s and distribute to appropriate individual.

  • Prepare design requests in Job Scope and submit to designers

  • Run various reports and keep meeting notes

  • Facilitate marketing requests from the sales department

  • Trade show coordination to include purchasing of promotional items, shipping and booth options

Education, Experience or Specific Skills:

  • Associate degree in a related field, such as administrative assistance, business administration, paralegal, etc.

  • Bachelor’s degree in a related field is a plus

  • 2-3 yrs experience in an administrative role requiring high level of detail and follow up

  • Ability to communicate professionally, verbally and written, at all levels of an organization

  • Strong time management and prioritization skills

  • Excellent attention to details and deadlines

  • Exposure to sales, marketing, legal or any combination is desired

  • Strong computer navigation and typing skills along with ability to learn and navigate new software

  • Experienced with but not limited to Excel, Word and PowerPoint

  • Smarthsheets knowledge a plus

  • Experience editing Adobe Acrobat a plus

  • Thorough understanding of company “branding” for all marketing and other materials generated

  • Ability to comprehend numerical and mathematical information, measurements, etc.

  • Demonstrated ability in managing multiple tasks while meeting assigned deadlines

Work schedule:

Work schedule for this role in Monday through Friday 8am to 5pm with frequent overtime requirements to meet client’s and company business needs.
