JOB SUMMARY The Administrative Assistant I provides clerical and administrative support to the Fleet Maintenance Managers for all locations and assists with all aspects of daily operations, including recording and reporting data. DUTIES & ESSENTIAL JOB FUNCTIONS 1. Files warranties and tracks trade-in parts (core) information. 2. Distributes confidential and sensitive documents. 3. Maintains the filing systems. 4. Tracks and documents capital expenditures. 5. Receives, sorts, files and retrieves forms, correspondence and documents. 6. Operates and maintains a variety of office equipment including computer, scanner, copiers, fax machine, folding machine and phone system. 7. Maintains and distributes department-related information as needed. 8. Completes a variety of reports as directed. 9. Other duties as assigned. QUALIFICATIONS AND REQUIREMENTS High school diploma or its equivalent and at least 6 months of administrative experience; Working knowledge of office administration practices, Business English; Proficiency with the Microsoft Office suite i.e. Word, Excel, Outlook; Basic math skills; Ability to operate a variety of office equipment, including computer, scanner, copiers, fax machine, folding machine, and multi-line phone system; Ability to follow written and verbal instructions; Skill with establishing priorities and managing workload; Organizational skills; Professional telephone and personal presence; Strong verbal and written communication skills; and Must be detail-oriented and possess a strong work ethic.
