Job Summary:

Position is responsible for overseeing the cash receipts/treasury functions, expenditure disbursements, and accounts payable for the TTI Business Office. Distributes patent royalty income. Prepares financial spreadsheets. This position carries high-security responsibilities requiring promptness and dependability. Incumbent will be responsible for becoming proficient with backup support functions. Continued employment in this position is contingent upon availability of funding and satisfactory performance.

Essential Duties:

  • Prepares various reports required from the System and State levels, including: Gifts, Donations, Grants and Endowments Reports; Quarterly Survey of Selected Services Transactions with Unaffiliated Foreign Persons; Council for Aid to Education's Survey of Voluntary Support of Education; Payment Card Industry (PCI) Self-Assessment Questionnaire (SAQ); assists with FTE State Employee Quarterly Report and other reports as assigned. Maintains various spreadsheets and assists the Director of Accounting in completion of reports and tasks as assigned. 18%

  • Maintains patent files. Prepares Cash Receipts Deposit Requests for patent royalty income from licensed technology and patent reimbursements from Texas A&M Technology Commercialization. Calculates royalty distributions and prepares vouchers to distribute the royalty income. Prepares ad hoc patent reports as requested. 15%

  • Responsible for tax issues related to vendor payments. Reviews IRS guidelines for changes to tax laws related to IRS Forms 1099 and W-2. Verifies and adds/deletes/corrects IRS Forms 1099 and W-2 information in FAMIS for annual tax reporting. Prepares manual corrections if needed. Reviews year-end 1042 reporting information and coordinates TTl's submission with TEES Engineering Budgets and Payroll. Reviews W-9 and vendor setups in FAMIS to ensure vendors are set up correctly. Prepares Request for Tax Withholding on Non-Salary Compensation Items forms for submission to TEES Engineering Budgets and Payroll. 12%

  • Prepares Permanent University Funds (PUF) requests for equity transfers from the Texas A&M University System (System) and maintains PUF spreadsheets. Tracks capital equipment allocation purchases. Prepares Cash Receipts Deposit Requests for PUF equity transfers. 12%

  • Supervises the activities of the Financial Accountant III position responsible for cash receipts/treasury functions and various accounts payable related items. Responsible for reviewing and approving monthly reconciliations prepared by the Financial Accountant III. Also supervises the activities of the Financial Accountant I position responsible for check printing and disbursements, distributing vendor invoices to departments in AggieBuy and various general ledger monthly reconciliations. Supervision also includes the activities of the Financial Specialist I (0.5 FTE) responsible for accounts payable data entry; the establishment, adjustment and liquidation of accounts receivable invoices in FAMIS; and data entry of Daily Cash Summary Sheet (DCSS) cash receipts transactions in FAMIS. 29%

  • Provides backup for TTI Business Office staff as needed. Provides liaison support with various System offices as appropriate. Assists in developing and implementing policies and procedures for areas of responsibility. Performs other duties as required. 12%

  • As needed, hand signs checks, approves ACH disbursements in FAMIS, and approves outgoing wire transfers online. Completes vendor credit applications as needed. Sets up vendors in the State Comptroller's Texas Identification Number System (TINS). 2%

Required Education and Experience:

  • Bachelor’s degree in Accounting, closely related field or an equivalent combination of education and experience.

  • 2 years of accounting experience in a fiscal/business office.

Preferred Experience:

  • 5 years of administrative and supervisory experience within the Texas A&M University System.

  • FAMIS, AggieBuy and Concur experience.

Knowledge, Skills and Abilities:

  • Supervisory accounting experience.

  • Strong customer service.

  • Fast learner and quality conscious.

  • Knowledge of word processing, spreadsheet, and database applications.

  • Strong Excel experience, including designing and creating spreadsheet reports.

  • Ability to create BusinessObjects queries and reports.

  • Ability to multitask and work cooperatively with others. Strong verbal and written communication skills. Ability to present information clearly and concisely.

  • Knowledge and experience in the Uniform Statewide Accounting System.

  • Knowledge of IRS 1099 reporting.

  • Knowledge of Patent Royalty and Distribution procedures.
