Our Administrative Specialist Intern is a great opportunity to develop office administration skills while working in various departments. You will have the ability to support the Accounting and Contracts departments including having minimal receptionist duties.

  • Complete all lien waivers so that payments will be released

  • Complete standard one- year warranty for each branch

  • Heavy data entry of contract information into Excel spreadsheet

  • Review bank lockbox deposits daily for contract payments

  • Sends payment remittance information to the accounting dept so payments are posted accurately

  • Requests supplier waivers when requested to release payments

  • Puts billing packet together for all USPS jobs

  • Help answer phone calls and direct them to the right location

  • Support the Contracts/Accounting team in daily administrative tasks

  • AIA contract experience is a plus but not required

  • Ability to multi-task and work efficiently in a fast-paced environment

  • Attention to detail to ensure accurate data entry

  • Good verbal and written communication skills

  • Display considerable initiative in meeting deadlines

  • Maintain a professional demeanor with co-workers and clients

  • Microsoft Office and Proficient in Excel

  • Enjoys repetitive work


  • High school degree or equivalent required
