Job Summary/Basic Function
Job Summary: This position reports to the Director of OISPS and also works closely with OISPS team members and international students and scholars. The person in this role is responsible for providing administrative support and other assistance to the Director and OISPS. The Administrative Specialist exercises broadly delegated authority in the administration of the department with regards to purchasing, accounting, payroll, office management, and other administrative activities. Responsibilities require considerable energy, initiative, judgement, reliability, confidentiality, cultural sensitivity, and organization and knowledge of department and University policies. Excellent customer service and collaboration skills are essential for success in this position.
Requirements: The Administrative Specialist performs administrative office support, office coordination and/or records processing and coordination of events and activities in support of the Office of International Student Programs and Services.
Essential Functions: 40% – Assists in providing program or procedural information related to the completion of forms and other related documentation using established standards and procedures; reviews and verifies the accuracy and consistency of information, data, records, invoices and other assignment-related transactions in accordance with established procedures and guidelines. Enters data to banner, adds and removes holds, in collaboration with the Student Health Center and Academic Health Plans, enrolls international students in health insurance plan. 20% – Prepares and maintains routine and non-routine correspondence, reports, documents, records and files according to specific work direction, established standards and procedures; monitors supplies inventory, orders supplies, and/or processes and monitors supply requisitions using Cardinal Purch. 10% – Contacts vendors for purchase and delivery information; monitors requisition information and related expenses, reviews and reconciles invoices, monitors and tracks expenses and may assist with the development of budget related materials and proposals and adheres to applicable policies and procedures. 10%— Manage director’s calendar, meetings, take and record meeting minutes, manager team calendar. 10%- Assist with event organization on and off-campus 10% – Performs other duties as assigned
Minimum Qualifications: 1. Associates Degree and two years of clerical, administrative office support or related experience; 2. Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. 3. Computer literacy including keyboarding ability and proficiency with word processing, excel spreadsheets, and presentation software. 4. Experience with event planning. 5. The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required.

Two year experience maintaining databases and spreadsheets 5. Two year experience entering data, creating data reports, and writing reports; 6. Experience working with international students and scholars; 7. Experience organizing events and using print and social media to promote them. 8. Demonstrated understanding of governance and administrative processes used in publicly supported higher education institutions.
