SUMMARY

Are you someone who likes the aspects of corporate environments? If so, Freeman is seeking an experienced Administrative Assistant at their Dallas-based Corporate Headquarters. This opportunity will handle duties in our Operations and Exhibitor Services deparments and will administer programs, processes, and projects as needed by the department. Specifically, this position will assist with travel, record keeping, expense reporting, purchasing, travel management, etc. as needed. Other responsibilities include:

  • Providing support and ensuring all administrative tasks are achieved on time or ahead of schedule, in a professional, customer service oriented and quality-focused manner

  • Maintaining calendars, scheduling appointments and coordinating for meetings, conferences and travel

  • Maintaining highly confidential information and files and be responsible for time sensitive material

  • Preparing routine and complex correspondence, reports and presentations often using most advanced office technology including Microsoft Office, graphics and spreadsheets

  • Researching, analyzing and compiling data and figures for presentations and proposals

  • Organizing and maintaining file system, and filing correspondence and records

  • Preparing minutes of meetings

  • Organizing and expediting flow of work through human resources, finance, operations, etc.

  • Performing general clerical duties including photocopying, fax and mailing

  • Handling requests for information and data

  • Resolving administrative and accounting problems and inquiries

  • Coordinating Human Resource administrative functions for local and remote new employees; including administration of all required employment related paperwork for hiring training

  • Collecting information from staff various reports

  • Preparing and proofreading routine correspondence, proposals and invoices

  • Other duties as assigned

Minimum Requirements

  • 2 years related experience is preferred

  • Working knowledge of all Microsoft Office Software applications

  • Demonstrated customer service skills

  • Proven organizational skills

  • Must know how to operate an automated phone system.

  • Must have excellent customer service and presentation skills

  • Working knowledge of Microsoft Office Suite

EDUCATION

  • High School Diploma or GED

PREFERRED

  • Undergraduate Degree

  • Administrative sales experience or tradeshow work experience.

REQUIREMENTS

  • Minimum one (1) to three (3) years related experience and/or training

  • Must be able to type between 65 and 70 WPM

  • Proven knowledge and experience in MS Word, Excel, and PowerPoint

PREFERRED

  • Knowledge of accounting systems
