The Junior Loan Assistant is an entry level position and is responsible for providing customer service to a variety of banking needs, including opening accounts, financial transactions such as cashing checks and making deposits, and loan payments. The primary responsibility of this position is a variety of receptionist, banking and clerical duties. This position will also require working as a team with other Loan Assistants and Relationship Managers to gather information required for Consumer and Commercial Loans and everyday handling of portfolios as well as assisting with clerical needs for other Commercial Team Members.

The Junior Loan Assistant will perform general clerical and banking duties related to commercial lending functions including receiving and answering customer/team member’s questions, setting appointments, and scheduling meetings. Will also assist other bank employees in the delivery of prompt customer service by answering the telephone and appropriately directing telephone calls, greeting customers, and directing to the appropriate department.

The Junior Loan Assistant must display energy and enthusiasm. Sets and maintains high performance standards. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload.

  • Assist the commercial & consumer banking center team with developing, maintaining, and servicing customer relationships; and facilitate effective use of communication tools (Outlook, telephones, voice-mail, e-mail, and written).

  • Be attentive to the needs of all customers with quick and competent responses, friendly and enthusiastic greetings, and by using the customer's name at least three times during a transaction.

  • Maintain knowledge of Bank products and services and use such knowledge to sell, cross-sell, refer, and promote business growth as is appropriate.

  • Implement and practice the Service Standards of Excellence.

  • Comply with laws, regulations, policy, procedures, and the Team Handbook.

  • Assist in the preparation and processing of documentation for commercial loans. This would consist of being a liaison between customers/lenders.

  • Assist commercial lenders in originating commercial loans, providing accurate documentation, and obtaining customer financial information.

  • Assist in planning and organizing office/bank functions.

  • Assist with scheduling meetings for Commercial Group.

  • Answers central telephone system and directs calls accordingly.

  • Provides administrative assistance to commercial officers and staff.

  • Obtains information related to the loan origination process including: ordering appraisals, environmental reports, credit reports, RESPA documents, preliminary title reports, customer identification verifications, insurance information, and various other items.

  • Prepares and maintains "applications in process/pipeline reports".

  • Receives the public and answers questions, in person and by telephone; responds to inquiries from employees, citizens and others and refers, when necessary, to the appropriate person, official or department.

  • Acts as an initial point of contact for commercial group.

  • Greet customers in a professional, friendly manner using the customer’s last name during the conversation.

  • Scheduling Conference Rooms and maintaining Conference Room calendar as well as making sure rooms are kept presentable at all times.

  • Completes clerical tasks such as filing, photocopying, faxing documents, scanning.

  • Keeping refrigerators stocked at all times.

  • Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the vice president, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.

  • Completing customer wires, advances, transfers, payments, etc.

  • Ordering prelimary loan information such as appraisals, credit reports, flood determinations, surveys, etc.

  • Assist with clearing exceptions for portfolios.

  • Working floor plans.

  • Assisting with loan files as directed.

  • Scanning and assembling of loan files.

  • Coordinating with attorneys, title companies, loan operations.

  • Deliver complete files to loan operations and managing process at loan filing and scanning.

  • Ordering and organizing of supplies.

  • Responsible for all daily teller duties. This assignment will be on a temporary basis until main bank lobby is complete at which time this will no longer be part of daily duties.

  • Process teller transactions, open new accounts and balance a cash drawer timely and accurately.

Required Education and Experience

  • Must be able to communicate thoughts clearly both orally and written, effectively responding to questions face to face and over the telephone.

  • Self-motivated and detail-oriented, with strong organizational skills, take initiative and have ability to work independently; balance multiple tasks simultaneously; effectively meet customer, supervisor and self-imposed deadlines.

  • High school diploma or general education degree (GED) plus additional bank-related training;

  • Must have working knowledge of operating a personal computer including Microsoft Word, Microsoft Excel, Microsoft Outlook and navigating the internet.
